Step 1: Set your requirements
Define the documents every vendor must hold, such as General Liability insurance, Workers Comp or a contractor license, with a minimum coverage amount where it applies.
Step 2: Vendors upload through a private link
Send each vendor their private link. They choose the requirement, upload the file and enter the expiry date. They never need an account.
Step 3: Reminders run and status stays live
ShowMeTheDocs reminds vendors before their paperwork lapses and keeps your dashboard showing who is compliant, expiring, expired or missing.

Reads certificates for you
Upload a certificate PDF with a text layer and the reader suggests the expiry date, coverage amount, line of business and policy number. You confirm every value before it is saved.
Endorsement hints and review checklist
The reader lists endorsement wording it finds (additional insured, waiver of subrogation, primary and non-contributory) and the certificate holder name, as hints. Add contract checks to a requirement and tick them off when you review a document.
Ask the insurance agent
One click emails a vendor's insurance agent the exact wording a requirement needs. You can also switch on an automatic request when a certificate is about to expire. Agents can opt out from the email.
Payment checks
Record a payment and see which documents are received or missing: insurance, a W-9 and a lien waiver. We record the documents your vendors send. We do not check whether a waiver is legally sufficient.
Vendor self-service portal
Each vendor gets a private link to upload their own documents. No account, no login, nothing to pay.
Reminders and a daily digest
Vendors are emailed 30, 14 and 7 days before expiry, on expiry, and when a document is missing. Admins receive a daily summary only when something needs attention.
Team roles and audit log

Frequently asked questions
Do vendors need to create an account?
No. Each vendor gets a private link to their own page. They can view their requirement statuses and upload documents without signing in, and they never pay.
Does ShowMeTheDocs read certificates for me?
It suggests, and you confirm. For a certificate PDF with a text layer, the reader suggests the expiry date, coverage amount, line of business and policy number, and lists endorsement wording and the certificate holder name it finds. Nothing is saved until you confirm the values. Scans and photos are read by an AI model only when scan reading is switched on for your account, and those values need extra care. You can try the reader on the free certificate checker without an account. Documents are accepted as PDF, PNG or JPEG.
How do reminders work?
Vendors are reminded 30, 14 and 7 days before an expiry date, on expiry, and when a document is missing. Each vendor gets one email per run that lists everything currently due. Admins get a daily digest of vendors who are not compliant.
Is our data kept separate from other companies?
Yes. Every organization's vendors, documents and reports are kept separate, and users see only their own organization's records. Passwords are stored in scrambled form, and sign-ins last 60 minutes by default.
What happens when the free trial ends?
If you have not subscribed, your account moves to the Free plan: up to 10 vendors, with every feature except the public API. No card is needed. Choose a plan at any time to add more vendors or use the API. Your data stays in place.
